The PiTech AI Governance Advisor ("the Platform") is operated by PiTech Solutions ("PiTech", "we", "us"), 4000 Sancar Way, Suite 205, Durham, NC 27709, United States. This policy explains what information the Platform collects, how it is used, and the choices available to you. Questions may be directed to info@pitechsol.com or 919-439-3163.

Accounts are created only by PiTech or by an administrator of your organization. There is no public self-registration. The Platform is intended for business use by organizations engaged with PiTech and is not directed to children.

• Account information: your name, email address, and assigned role, provided when your account is created.
• Organization profile: company name, website, industry, ownership type, employee and revenue ranges, number of locations, years in business, headquarters, AI adoption stage, primary contact name and title, and any regulatory notes you enter.
• Assessment data: your answers to the 100-question AI governance assessment, progress state, computed domain and total scores, and maturity level.
• Generated deliverables: the maturity report narrative and the custom AI Acceptable Use Policy produced from your assessment, stored with your assessment record.
• Technical and usage data: standard information required to operate and secure a hosted web application, such as authentication events and basic product usage events.

We do not ask for, and you should not enter, protected health information, payment card data, government identifiers, or other sensitive personal data in free-text fields.

• To create and authenticate your account and control access to your organization's workspace.
• To score your assessment and produce your maturity report, improvement roadmap, regulatory impact analysis, and draft AI Acceptable Use Policy.
• To deliver and support the consulting engagement between PiTech and your organization.
• To secure, maintain, troubleshoot, and improve the Platform.
• To communicate with you about your assessment, deliverables, and account.

We do not sell your information and we do not use it for third-party advertising.

The Platform uses third-party large language model services to draft the narrative sections of your maturity report and your AI Acceptable Use Policy. To do this, your organization profile and assessment responses are transmitted to those providers for processing. Outputs are drafts intended for human review; they are not decisions about any individual and are not legal advice. PiTech does not authorize model providers to use your content to train their general-purpose models.

The Platform is built and hosted on the Base44 application platform, which provides authentication, database, file storage, email delivery, and AI integration services. We may also disclose information to professional advisors, or where required by law, legal process, or to protect rights and safety. We do not otherwise disclose your organization's assessment data to third parties without your instruction.

Access is restricted by role. Users see only their own organization's profile, assessments, and deliverables; PiTech administrators may access client records to deliver and support the engagement. PiTech applies government-grade delivery practices aligned to CMMI Level 3, ISO 27001, and FedRAMP/FISMA controls. No system can be guaranteed completely secure; please report any suspected issue to info@pitechsol.com.

Assessment records, reports, and policies are retained for the duration of your engagement and for a reasonable period afterward so that results remain available for comparison and audit. Administrators may archive assessments to hide them from active views, or permanently delete them, in which case deletion cannot be reversed.

You may review and update your organization profile in the Platform at any time. Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information about you, and to object to certain processing. To exercise a right, contact info@pitechsol.com. Where PiTech processes information on behalf of your employer, we will refer the request to that organization.

The Platform is operated from the United States, and information is processed and stored in the United States and other jurisdictions where our service providers operate. By using the Platform you understand that your information will be processed in the United States.

We may update this policy from time to time. The effective date above reflects the most recent version. Material changes will be communicated to account holders.

This Privacy Policy is provided for transparency about our data practices and is not legal or compliance advice. Nothing in this policy, on this website, or in any assessment, report, roadmap, regulatory mapping, or draft AI Acceptable Use Policy produced by the Platform creates an advisory, fiduciary, or attorney-client relationship, and none of it may be relied upon as a determination of your organization's legal obligations, privacy posture, or compliance status. Your organization is solely responsible for obtaining qualified legal counsel and for its own privacy, security, and AI governance decisions.

You are responsible for the information you enter into the Platform, including ensuring you have the authority to submit it and that you do not submit sensitive personal data that the assessment does not require. To the extent permitted by law, you agree to indemnify and hold harmless PiTech Solutions and its personnel from claims, losses, and expenses arising from information you submit in violation of this policy or applicable law, or from reliance on Platform output without independent professional review.
